There's something that happens when you walk into a room you didn't design.

You have two choices. You can spend your energy trying to figure out why every decision was made. Or you can get intentional about the vision in front of you and focus on what the room still needs to become.

That dark ballroom? I was in there working with production to make sure a specific video played exactly right at exactly the right moment. It wasn't my original vision. But it was my responsibility to execute it.

That season taught me that intentionality isn't just about your own plans. It's about being present enough with someone else's to carry it the rest of the way.

I've been in the room when someone's vision disappeared with them.

A key person steps away. A committee chair gets overwhelmed. Someone leaves mid-planning. And suddenly, everything that lived in their head is just gone.

It's one of the most preventable things that happens in event planning. And one of the most common.

Getting the vision out of your head and into a shared space isn't an admin task. It's a design decision. One that determines whether your event can survive any single person's absence.

About a month before one of our biggest conferences, my supervisor stepped away. She handled what she could remotely, but on-site ex*****on was entirely on me.

I want to be honest about what that actually looked like. I was the emcee for one portion of the event. I hosted a pre-conference reception for our online community members coming in person. I set up an invite-only policy reception. I made sure a state leadership meeting ran correctly. I was my CEO's handler throughout. I coordinated volunteers. I made sure vendors had what they needed, that merchandise landed in the right places, that attendees knew where to be and when.

All of that at an event I didn't design and wasn't deeply involved in planning. I was handed it at the end of the process and asked to execute.

What that season gave me was this: when you're intentional about the work, you can carry someone else's vision. But a vision only one person holds is one departure away from disappearing.

That's why the first thing I build in every engagement isn't the timeline. It's the documentation that makes sure the vision can survive any single person, including me.
