Your event tells a story. Your data helps you read it.

Attendance numbers are important, but they are only the beginning.

As an event host, you can learn so much from what happens before, during, and after your event:

✔️ How many people registered?
✔️ How many actually attended?
✔️ Which sessions had the most engagement?
✔️ Where did attendees drop off?
✔️ What did they enjoy most?
✔️ What would they change?

And don't forget the most valuable piece of the puzzle: attendee feedback.

A simple post-event survey can reveal what your numbers cannot. It can help you understand whether your event delivered value, where the experience can improve, and what will bring attendees back next time.

What Matters Most:

Don't collect data just because you can. Collect the information that helps you make better event decisions. The goal isn't to create a mountain of spreadsheets. It's to turn insights into action.

October Event Tip: Effective Event Production

No tricks, just treats when it comes to event production!

A great event may look effortless, but behind the scenes? There’s usually a whole lot of planning, coordinating, testing, troubleshooting, and probably a few very strong cups of coffee.

Effective event production is about making sure all those moving pieces actually move in the right direction.

Think:

🎤 Speakers know when and where to go
🔊 AV is tested BEFORE the room fills up
💡 Lighting supports the experience
📋 The timeline keeps everyone on track
👥 Your team knows who is doing what
🚨 There’s a backup plan when technology decides to have a moment

And here’s the fun part: when production is done well, your attendees usually don’t notice it. They simply experience an event that feels smooth, professional, engaging, and enjoyable.

Event Planning Pillar #5: Peace of Mind - Creating and Producing an Event

You know that magical feeling when the event is happening… and you’re actually enjoying it?! Yep. That’s the goal.

Creating and producing an event shouldn’t mean spending the entire day with a clipboard in one hand, a phone in the other, and a look of panic somewhere in between.

Peace of mind comes from preparation and it looks like:

📋 A plan that makes sense
⏰ A timeline that keeps everyone moving
🎤 Speakers who know where they need to be
🔌 AV and technology that have been tested
👥 A team that knows their roles
📝 Details that have been checked… and checked again
🚨 A Plan B for when Plan A decides to take a vacation

When the behind-the-scenes pieces are thoughtfully created and produced, you can stop worrying about every little detail and start experiencing the event you worked so hard to create.

What Matters Most:

Here’s a little secret: memorable events don’t happen by accident.

Don’t Let Technology Take Center Stage

Technology can make an event amazing, but when it does not work, it can quickly become the thing everyone remembers!

As an event host, you do not need to be an AV expert. But take it from me, you do need to ask the right questions and plan ahead.

Before your event, consider:

🎤 Audio: Can every guest hear the speakers clearly?

📺 Visuals: Will presentations, videos, and graphics look great from every seat?

💡 Lighting: Is the stage or speaker properly lit for both the audience and cameras?

💻 Presentations: Have every slide deck, video, and presentation been tested?

🎧 Remote Speakers: If someone is presenting virtually, has the connection and backup plan been tested?

🔌 Backup Plans: What happens if the internet goes down, a microphone stops working, or a presentation will not load?

And here is one of my favorite (and a must do!) production rules: Test everything before your guests arrive! A quick rehearsal can uncover small problems before they become big problems. It also gives speakers confidence and allows the production team to make sure all the pieces work together.

When technology works the way it should, your guests stay focused on your message, your speakers, and the fantastic experience you created.

What Matters Most:
Technology should support your event, not distract from it. Thoughtful preparation helps create a seamless experience where everyone can relax and enjoy the moment.

Core Value Spotlight: Responsible

Being responsible when planning an event means more than checking things off a to-do list. It means owning the details, following through, and making sure your event is set up for success.

“Embracing the golden light of autumn as a quiet invitation for rest and renewed inspiration.”

There’s something about autumn that makes me want to slow down, take a breath, and make room for fresh ideas.

For event hosts and planners, that pause can be valuable. Step away from the spreadsheets for a moment. Look at what worked, what didn’t, and what you’d love to do differently at your next event.

Sometimes the best event ideas don’t come from doing more. They come from giving yourself enough space to think, dream, and get inspired again.

Great events start with great intention. Take a little time this season to recharge, reconnect with your vision, and let your next brilliant idea find you.

Most people know I’m a Certified Event Producer ™ and Event Educator, but many would be surprised to find out I wanted to be a CPA, yes that is right a Certified Public Accountant!

Now, I can’t even imagine my days being spent doing anything but helping event hosts produce events that are fun and engaging. At least I fulfilled getting certified, just in a much more fun field.

What Makes an Event Feel Seamless? Let me tell you…

Have you ever attended an event where everything just seemed to happen at the perfect moment?

The speaker walks on stage. The lights come up. The presentation appears on screen. The music starts. Guests know where to go. Vendors know what to do.

It may feel effortless, but there is a LOT happening behind the scenes!

That is the magic of event production excellence.

As an event host, you do not need to know every technical detail, but you do need to think through the experience from beginning to end.

Here are my suggestions on what to ask yourself:

🎧 What does the AV team need?
🎤 What does each speaker need to feel prepared?
⏰ What needs to happen before guests arrive?
📋 Who is responsible for each moving piece?
🚨 What is the backup plan if something does not go as expected?

The goal is not perfection. The goal is preparation.

When the details are planned, communicated, tested, and managed, you can relax, have fun, and actually enjoy the amazing event you worked so hard to create!

What Matters Most:

Your guests should be focused on the experience, not the logistics. Fantastic production makes that possible.
