One of the most important parts of wedding planning is understanding exactly what each vendor is responsible for — and what they are *not* responsible for. 🤍

Not all vendor packages are created equal. Two vendors may offer similar pricing, but one may include setup, cleanup, staffing, delivery, timeline help, or additional services while another may not. Asking detailed questions upfront helps avoid confusion, stress, and last-minute surprises on your wedding day.

A huge part of planning is identifying where there may be “holes” in service and making sure someone is assigned to handle them.

For example:
If your caterer does not include food service staff — or if you are preparing/providing your own food — it then becomes *your responsibility* to find designated people to:
• Set food out
• Refill items
• Monitor the buffet
• Clean up food service areas
• Handle trash and leftovers

One of the most common things we see couples over-purchase for weddings is drinks — especially pop and mixers. Online calculators and internet recommendations often suggest quantities that are *far* higher than what actually gets consumed during a wedding day. 🤍

Every wedding is different.
Guest count, guest ages, bar setup, alcohol choices, time of year, and even your timeline all affect how much people actually drink. A wedding with mostly adults drinking alcohol will use very different amounts of pop than a family-focused wedding with lots of kids and non-drinkers.

This is why asking your venue what they recommend is so important. Venues that host weddings regularly have real hands-on experience and see what actually gets used weekend after weekend. At Sunset Ridge Venue, we’ve seen hundreds of weddings and can usually give couples a much more realistic estimate than a generic internet chart ever could. 🍻🥤

Another important tip: SAVE YOUR RECEIPTS.
Many unopened items can often be returned after the wedding — including beer, liquor, pop, water, and other beverages depending on where they were purchased. This can save couples a significant amount of money and helps reduce waste if you accidentally overbuy.

Dessert tables can be beautiful, fun, and memorable — but one of the easiest ways to save money (and reduce waste) is by limiting the number of sweet options you offer. 🤍

It’s easy to get caught up in wanting cupcakes, cookies, brownies, donuts, candy bars, cake pops, late-night snacks, and more… but in reality, guests usually only try one or two items. Choosing a smaller variety of desserts often creates a cleaner display, keeps the focus on your favorites, and helps stretch your budget further.

Cookie tables are a great example. They can be wonderful during cocktail hour and are a fun tradition for many couples and families. But limiting the *quantity* is something we highly recommend.
