Before we arrive on site, thereโ€™s a whole production taking shape in the warehouse. We meet as a team, talk through the event plan and make decisions about the table setup, lounge pockets, styling details and what needs to be ready for each space. The moodboards and inspiration are only the beginning; every idea has to be translated into a clear plan that the team and suppliers can follow.

Then come the call sheets, supplier check-ins, loading schedules, stock checks and final preparations. We confirm whatโ€™s going into each vehicle, who is responsible for what, and what needs to happen when we get to site. Itโ€™s detailed work, but it helps everyone move with purpose and gives us the best chance of bringing the design to life as intended.

This is the side of event planning that guests donโ€™t always see: the communication, coordination and practical decisions behind the finished setup. And itโ€™s exactly the kind of process weโ€™ll explore at The Art of Play Masterclassโ€”from developing a concept and creating a moodboard to coordinating suppliers, planning production, styling the space and managing the logistics that carry an idea from paper to event day.

The beautiful reveal starts long before we get to the venue
