📅 WHEN IS YOUR EVENT DATE ACTUALLY RESERVED? 📅

One of the most common misconceptions in the event industry is that a date is secured simply because you’ve inquired, received a quote, or even signed a contract.

At Your Special Day By Shay, LLC, your event date and time are not officially reserved until the required non-refundable retainer payment has been received.

Here’s what you need to know:

❌ Sending an inquiry does not reserve your date.
❌ Having a consultation or discussing your event does not reserve your date.
❌ Receiving a quote does not reserve your date.
❌ Receiving a contract and invoice does not reserve your date.
⏳ Signing a contract places your date in a pending status.
✅ Paying your non-refundable retainer officially reserves your date and time on our calendar.

Please note that pending dates are held for up to five (5) days unless otherwise discussed. If the signed contract and required retainer are not received within that timeframe, the date may be released and made available for other clients.

Payment Terms:
• Events booked more than 30 days in advance require a 25% non-refundable retainer.
• 50% of the remaining balance is due 30 days prior to the event (45 days prior for wedding events).
• Final payment is due 14 days prior to the event date.
• Events booked within 14 days may be subject to a rush fee and require payment in full.

When attending a beautifully decorated event, it’s important to remember that not everything on the tables or throughout the venue is intended to be taken home or discarded.

Many of the items you see are rented décor pieces that must be returned after the event, including:

✨ Chargers and specialty tableware
✨ Centerpieces and floral vessels
✨ Framed signs and photos
✨ Candlestick holders
✨ Decorative props and display pieces
✨ Specialty décor items

Items that are clearly disposable—such as meal plates, cups, food containers, and paper products—may be discarded after use.

Unfortunately, when rental items are accidentally thrown away, removed from the venue, or taken home, the event host may be charged replacement fees. These unexpected costs can quickly add up and take away from an otherwise wonderful celebration.

If you’re ever unsure whether an item is disposable or part of the décor, it’s always best to leave it in place or ask the event host.
