From hard hats to the finished product! 👷‍♀️

Earlier this year, I had the chance to get a behind-the-scenes look at the Walt Disney World Swan & Dolphin Resort new event space while it was still under construction. Now it’s open—and what a transformation!

Staying ahead of new spaces and renovations means I can share what’s coming with clients before the doors even open.

Congratulations to the entire team on a beautiful new addition!

I spend a lot of my professional life in hotels and resorts—but when it comes to my own vacations, I’ll admit I usually gravitate toward a cruise ship. I like waking up somewhere new!

So a few days at a resort in Mexico for my birthday was a fun change of pace—and a great reminder of what a wonderful resort does so well: it makes staying put feel like the whole point.

It’s also always valuable to experience hospitality from the guest side. When I’m sourcing properties for clients, I’m thinking about contracts, meeting space, room blocks and logistics. But ultimately, what guests remember is much simpler: how a place made them feel.

This time, I got to be the guest—working remotely when I needed to, relaxing when I could, enjoying some wonderful hospitality, and celebrating my birthday with a pretty spectacular sunset.

Sometimes the destination really is the destination. 🇲🇽☀️

✨ Don’t take our word for it.

Finding the perfect venue is about more than booking a hotel—it’s about finding the right fit for your goals, your attendees, and your budget.

We’ll let one of our clients tell you what it’s like to work with The Event Architects. 💙

Meet Me in Barcelona!

One of the best perks of what I do? Sometimes my favorite adventure partner gets to tag along. ❤️

This time, took us beyond Barcelona and into the beautiful Corpinnat region—rolling vineyards, incredible scenery, and some of Spain’s finest sparkling w**e. 🍾

The best experiences aren’t always in the heart of the city. Sometimes they’re just beyond it. If you’re meeting in Barcelona, don’t miss the chance to explore this incredible region.

When selecting a meeting destination, don't just evaluate the hotel. Evaluate what attendees can do once they leave the meeting.

A ballroom is a ballroom. What attendees remember is everything that happens outside of it.

When I'm evaluating destinations, I always ask a few simple questions:

Can attendees easily explore on their own?
Are there great restaurants within walking distance?
Would a spouse or guest enjoy coming along?
Is there something unique about the destination that people will still be talking about months later?
The best meetings don't end when the last session adjourns. They continue over dinner, on a walking trail, at a local attraction, or during an unexpected conversation that never would have happened back in the office.

The destination doesn't need to be flashy, but it should give people a reason to be glad they came.

Because while attendees may not remember every speaker or breakout session, they absolutely remember how the experience made them feel.

After more than 20 years of sourcing meetings, I've learned that the lowest room rate doesn't always create the lowest-cost meeting. One of the biggest mistakes organizations make during site selection is focusing on hotel rates without considering the total cost of attendance.

A hotel with a $249 room rate isn't necessarily a better value than one with a $299 room rate.

What does airfare look like?

How many nonstop flight options are available?

What will attendees spend on transportation, parking, meals, and all the little extras that add up quickly?

I've seen groups save $50 per night on rooms only to make the overall trip significantly more expensive for attendees. The hotel rate matters. But it's only one line item in the attendee's budget.

When evaluating destinations, look at the whole picture—not just the negotiated rate.

When it comes to site selection, the first question isn't "Where should we go?"

It's "Why are we meeting?"

After more than 20 years of sourcing meetings, I've learned that a required meeting and an optional meeting should be approached very differently.

For required meetings, the company is usually picking up the tab, so I focus on making attendance as easy as possible. Convenient flights, reasonable travel times, and a location that works for the majority of attendees often matter more than the wow factor.

For optional meetings, the destination becomes part of the marketing plan. Is it somewhere people actually want to visit? Does it offer an experience they couldn't easily create on their own? Can attendees feel like they're getting exceptional value for their registration dollars?

Start with the "why." The "where" gets much easier.
