💍 Wedding Tip Wednesday: Picking a Wedding Venue! 🏛️

You’ve made your budget. You have a rough guest list. Now what?

It’s time to start the venue hunt! 🔎💍

Choosing your venue is one of the biggest decisions you’ll make during the planning process, and it can affect many of the decisions that come after it. Here are a few things to keep in mind while you’re searching:

👥 Does the venue fit your guest count?
Look for venues that comfortably accommodate the number of guests you’re planning for. If a venue is too small—or significantly larger than what you need—it may be worth crossing it off your list and saving your time for options that fit.

💵 Is it within your budget?
Unfortunately, many venues don’t list their pricing online (Forest Hill Park does!). This can be because pricing varies based on packages, dates, guest counts, or additional options. If you love a venue but can’t find pricing, send them an email or give them a call!
Websites like The Knot, WeddingWire, and Here Comes the Guide can also give you a general idea of what venues in your area may cost.

📅 How flexible is your date?
Book your venue as early as possible! Your venue and date will influence many of your other vendor decisions.
If you have a specific date that is nonnegotiable, you may have to compromise on your venue or vendors. Date flexibility helps broaden your selections.

📍 Is the location convenient for your guests?
Check the venues location- make sure it is in a range you are comfortable guest driving and has accommodation options for out of town guests.

📋 What’s included?
Don’t assume! Ask exactly what comes with your venue rental. Tables? Chairs? Setup? Cleanup? Getting-ready spaces? Décor? Services?

🤝 Can you choose your own vendors?
Does the venue have a preferred vendor list you must use, or can you bring in your own vendors? Knowing this upfront can make a BIG difference in your planning and can affect your budget.

💰 Are there additional fees?
Ask if there are any additional charges that aren't included in the advertised package price.

⏰ How much access do you get?
Find out what time you can arrive to decorate, get ready, set up, and clean up. Access time can make a huge difference in your wedding-day timeline!

🌦️ What happens if the weather doesn’t cooperate?
If you’re considering an outdoor venue, make sure you understand the backup plan for rain, extreme heat, or other unexpected weather.

Who should you invite to your wedding? 🤔

Your guest count is one of the biggest factors that will affect your wedding budget. The number of people you invite can impact:

🏛️ The size—and cost—of your venue
🥂 Catering expenses
🌸 Decorations & flowers
💌 Invitations & postage
🎁 Favors
🪑 Tables, chairs & rentals if these are needed for your venue

And remember, a larger venue may also mean more décor and flowers to make the space feel full and intentional.

So, where do you start?

When creating your rough guest list, start with your must-have people—the ones who mean the most to you and your partner and who have been there for you through the important moments in your lives. ❤️

Then, create a second list of people you still care about but may not see or talk to as often.

This gives you a better idea of the people you NEED to plan for versus the people you WOULD LIKE to plan for.

Having those two lists can make it much easier to adjust your guest count later if your budget, venue, or other wedding plans require you to make some changes.

Okay, this may not be the most fun part of wedding planning… but it’s definitely an important one! 😉

According to data from , this chart gives couples a general idea of how they might allocate their wedding budget across the different aspects of their big day.

For example, if you have an $8,000 total wedding budget, this guideline would put your venue around $2,320 and your photographer around $800.

But here’s the thing… your wedding doesn’t have to fit perfectly into a chart! ❤️

Maybe the photographer you absolutely LOVE costs more than the suggested percentage. That’s okay! You may decide that photography is one of your top priorities and adjust your budget in other areas to make it work.

Maybe that means skipping the photo booth, choosing simpler décor, or narrowing down your guest list to save on catering costs.

Just engaged and ready to start planning? Before you start touring venues and booking vendors, there are TWO things you should figure out first: 👇

1. Set your budget 💵
Sit down with your partner and determine how much you’re comfortable spending. If family members are contributing, have those conversations early so you have a realistic idea of what you’ll be working with.

2. Create a rough guest list 🥂
You don’t need the final list just yet! But having a general idea of how many people you’ll be inviting is SO important. Your guest count will impact the size and cost of your venue, catering, rentals, and many other vendor services.

✨ Why do these two things first?
Your budget and guest count will guide nearly every other wedding planning decision you make. Having a good idea of both before you start shopping for venues and vendors can save you time, money, and a LOT of stress!
