We saw a post recently in which an another wedding vendor commented and said that a day of coordinator “should not even be a thing”. 

We may be biased , but we absolutely disagree.

And here’s why -

Her reasoning was that no one should just show up day of and try to play a part in such an important event. 

Now of course we can’t speak for anyone else but that is absolutely not what we do.

Within a week of booking with us we set up your first meeting so we can learn all about your wedding. It doesn’t matter if your wedding is in two weeks or two years, we want to know all about your vision for your day.

We stay in touch with our couples in the months leading up to the wedding and do not limit electronic communication. Our couples can call , text and email us as much as they like. We are wedding experts and understand you’re gonna have questions. You’re gonna have times where you need to ask “Is this normal?” “Does this make sense ?” Or “Where is the best place to get …?”

It’s important that our clients know they have a trusted resource in their corner BEFORE the wedding day even happens.

That’s just how we do things at VME.

Other coordinators may not agree but let me tell you - we are more than “just day of coordinators” and anyone who has worked with us can attest to that.

Let’s talk about Grand Exits.

It doesn’t matter if you use :

Bubbles 🫧
Sparklers 🧨
Ribbons 🎀
Confetti 🎉

Or something else entirely no one else has done. The pictures will be amazing regardless but let’s discuss the actual logistics of achieving these type of pictures.

The first option is to do a smaller , fake grand exit with only wedding party. It’s much easier to coordinate but if you have a small wedding party or none , it doesn’t give the same effect.

Second option is to do a staged faux exit with guests before the actual end of the night. This allows ALL of your guests to be involved which is great but if you have over 100 people it can be a little harder to get everyone lined up and in place. There’s also a chance that some guests don’t realize you aren’t really leaving and will leave to go home because they think the wedding is over.

The third option is to keep the grand exit at the end of the night. Yes some guests will have left by this point, but that just means it’s easier to coordinate with the remaining people. 

Is your day of Coordinator, we will look closely with your Photographer and even the DJ to execute the vision. 

No matter which option you go with, the result will be the same - an amazing picture that captures the end of the best day ever ✨

You’ve found the perfect venue. The one that matches your vision. That feels like a dream come true.

But before you sign a contract and pay the deposit , here are five things you need to consider first:

1. Does the venue require you use certain vendors (catering , bartending , DJ) ? If so , look at the pricing for those vendors. Costs can quickly add up when you are required to use certain options and easily send you over budget.

2. How many hours of access do you have including set up , event time , and breakdown ? It’s important that your vendors are able to access the venue and be able to set up without being rushed.

3. Will the venue require a room flip ? If so , does the venue staff handle it or do you need to hire outside help ? A room flip is a labor intensive task that usually comes at a cost either by the venue or the outside help you will have to hire.

4. Does the venue have specific clean up requirements like mopping floors , putting up tables and chairs , or removing all trash up the dumpster ? Most have some form of rules and it’s important that you know them and have a plan in place to ensure they are followed.  You may even want to consider hiring someone to do a vent cleanup if you are not comfortable asking family and friends to do so.

5.  Will there be a dedicated person for the venue on site the day of your event and if so, what are their responsibilities?  Often when a venue does have someone on site, they do not act in the same capacity as a day of coordinator so it’s important to know their exact role.

It’s easy to fall in love with a venue as soon as you see pictures or take a tour. But if you don’t take the time to to ask these questions you may end up with more stress than you bargained for.
