At Celebrations Catering, we strive to meticulously plan and execute detailed events. An experienced event planner assists in maintaining our reputation for memorable events by managing the event from concept through completion and following up with clients. This role requires excellent leadership skills, organizational skills and the ability to properly delegate tasks to efficiently execute unique events.
Objectives of this Role
• Manage all aspects of event planning while meeting strict deadline and budget demands.
• Build and develop relationships with vendors, venues and other industry contacts to curate and implement creative and logistical aspects of all events.
• Stay current, and often ahead of the curve, on event planning, design and trends.
• Establish standard procedures and train staff to execute following standards.
• Comply with legal, insurance, health and safety regulations.
Responsibilities of this Role
• Coordinate with internal staff, clients, vendors and other industry contacts to establish needs for events and serve as liaison between client and vendors/venues etc.
• Research resources, make site visits, host consultations and lead pre-event meetings when necessary to help plan and execute a client’s vision while meeting the client and the company’s budgets.
• Plan and facilitate logistics for all events, including but not limited to contract negotiations, venue preparation, equipment, décor, staffing and scheduling.
• Expand marketing by creating social media posts and producing material for social media posts.
• Work with company warehouse to ensure availability of inventory for event needs, including linens, décor, glassware, china, disposables, equipment and décor.
• Oversee client experience from conception through post-event, managing on-site preparations, production, and event breakdown while ensuring meeting our company’s consistent, high-level service throughout all phases.
• Maintain and build a comprehensive database of industry contacts, vendors and venues.
• Troubleshoot and handle any issues that arise on the event day.
Skills and Qualifications of this Role
• Proven success as an event planner and/or coordinator.
• Strong interpersonal and communication skills, via on the phone, email or in-person.
• Exceptional organizational skills, multitasking, time management and meticulous attention to detail.
• Adept in handling pressure and solving problems as they arise while maintaining composure.
• Ability to remain on feet for entire event time, lift upwards of 50 pounds or other physical demands without reasonable accommodations.
• Ability to work a changing schedule as events demand including but not limited to, early morning, late evenings, weekends and holidays.
Preferred Qualifications
• Bachelor’s degree or Certification in Hospitality Management, Event Management or related discipline.
• Proven work history in comparable field.
• Experience in marketing and/or public relations a plus.
• Proficient with event management systems and tools used to book and plan the company’s events.
• Flexibility to travel for events, on-site meetings and client consultations.
