YES Trade Shows, located in Farmers Branch, TX, is a trade show management service company that specializes in the aviation industry. We curate each trade show for our customers one detail at a time. YES supports companies through a personalized boutique experience. We are looking for a team member who shares our passion for customer service. The best candidate for our company is an administrator/planner who can manage the daily details and use big-picture thinking to successfully meet the needs of our clients and organization.
Duties will include, but may not be limited to, the responsibilities listed below.
• Maintain superior timely customer service while collaborating with customers to manage contracted trade shows for any and all aspects related to trade show management.
• Develop and execute all facets of the client trade shows experience as contracted including research of venues and/or vendors, negotiate contract terms, support agenda and content development, food & beverage selection, audio-visual, exhibitor badge registration, housing, on-site and off-site trade show related logistics and labor requirements, freight and material handling logistics, budgeting and invoice reconciliation.
• Project management skills to manage and collaborate the responsibilities between front office and warehouse duties needed to plan and execute contracted trade shows.
• Read and analyze exhibit set-ups, drawings, production orders, structural drawings, CAD and electrical drawings to determine accuracy for each exhibit requirements
• Manage the handling and assembly of client exhibits by ensuring they are securely and accurately packed with booth components based on design specifications and setup instructions for outbound to show and receiving/inbounding return shipments
• Ensuring established high quality standards have been adhered to each aspect of each project
• Create planning guides, packing lists, freight manifest and show documentation specific to Company/Client as required
• Manage and maintain inventory lists by client and company
• Travel to shows (as needed), supervise and assist in managing I&D teams and freight logistics
• Collaborate with exhibits team and internal teams relating to project planning and the ability to interact with clients as needed
• Represent YES Communications with Exhibits clients and help estimate jobs as needed with direction from company president
• Maintain accurate records and save them in shared files for team collaboration
• Training, implementing policies and procedures to streamline and improve company processes
• Assist in planning/coordinating I&D labor and freight logistics
• Complete other duties as assigned by management
• Works well under pressure and is a strong communicator and leader in a constantly changing trade show environment, works well independently and a leader in a team setting
• Ability to complete all physical requirements on the job with or without a reasonable accommodation. Must be able to lift, carry or move 25-50 pounds occasionally and must be able to work in cold or hot indoor environments
Occasional travel will be required and will be scheduled in advance.
Candidates who have previous work experience in the tradeshow industry, travel industry, hospitality or hotel industry or meeting planning is preferred, but not necessary.
Skills & Knowledge:
• Must be highly proficient with Microsoft Word, Excel and Outlook
• Must have excellent verbal and written communication skills
• Must have excellent organizational skills, be task oriented with an aptitude for project management and critical thinking
• Must be able to multi-task in a fast paced and small working environment
• Must be able to meet deadlines and remain flexible
