ON THE DAY COORDINATION FOR WEDDING EVENT: P15,000
PACKAGE INCLUSIONS:
4 MEETINGS ( all meetings will be done on our office )
First meeting, (3 months before the wedding)
Turnover of the client’s suppliers list ( copy of contracts, details and contact numbers of the client’s suppliers ) to the head coordinator for a smooth turnover. Small talk about the wedding details. And other wedding related things that should be submitted to the head coordinator for the second meeting.
Second meeting, (2 months before the wedding)
• List of guest that are invited on the wedding day.
• List of entourage and their contact numbers.
• List of family, entourage that will be present in the hotel during the preparation period.
• Numbers of people for meal during the preaparation period. The couple will be asked to prepare a petty cash for this, so arrangement can be made for on time delivery.
• Suppliers meal for the reception.
• Couples will be asked to prepare mineral waters and light snack like, bread or biscuits for all the guest and suppliers in the hotel during preparation period.
• Details of the program for reception. ( a sample of the wedding reception program will be presented for the conceptualization of the event.
• Things to bring for the next meeting.
Third meeting, (1 month before the wedding)
• Final list of the guest headcount to finalize the seat plan
• Names and contact information of the offertory and liturgical entourage.
• Call time of the suppliers.
• Discussion about the final payment of the suppliers on the day.
• Finalization of the details for the ceremony and reception program.
• Sounds to be used during the reception.
Fourth meeting, ( 2 weeks before the wedding)
• Final headcount of the guest attending the event for the final seat plan.
• Final headcount of the suppliers, family and guest that will be present at the bridal suite/room, groom’s room for the meal preparation to avoid unnecessary delay.
• Finalization of wedding program for reception.
• Last minute changes.
• Finalization of the balance for the suppliers. List of the suppliers who will received their payments on the day of the event.
• List of the entourage for the distribution of flowers.
• Discussion for the distribution of giveaways / souvenirs
• Things to be prepared on the day of the event.
On the day of the Event
• The team has 7 coordinators with 2 way radios and mobile phones for fast communication
• This compose of the following:
Hotel assistance: (1) brides assistance, (1) grooms assistance, (1) who will assist the guest and family.
Church: (1) coordinator and head coordinator will conduct the following task:
• Supervision of the church set up
• entourage flowers and ceremony items
• processional march assembly
• briefing of offertory and liturgical entourage
Reception: (2) coordinators assigned at the reception
• to monitor the set up of the reception
• to set up the gifts table, and the receiving table.
