Want to pull off an intentional experience? My advice to you: think deeper.

Great event coordination isn’t simply about following a schedule. It’s about considering how you want people to feel at every stage of the experience.

For this event, guests were welcomed with hand massages and ice chilled flannels. Nostalgic games like noughts & crosses and Connect Four encouraged play and conversation, while warm table lamps and thoughtfully placed snacks made the space feel relaxed and inviting.

At their seats, every guest found a personal handwritten note beginning, “Hey lovely…” with their drink preference printed on their place card, and before leaving, they could visit the poem wall and choose a printed poem to take home.

Some details created nostalgia. Others created an entirely new experience. But every one had a purpose: to create moments guests would feel, enjoy and remember.

In my last post I spoke about the points I think through when designing an experience with my client. In this post, we'll be moving on to the next important element of your planning journey: protecting the experience.

That means every supplier knows their role, every transition is considered and every moving part works together seamlessly.

It also means knowing what to leave out. Not every good idea belongs at the same event, and not every challenge should ever reach the client or their guests.

When the planning is strong, the event feels effortless.
My goal is always the same: for my client to stay present, for guests to feel genuinely looked after, and for the experience to unfold exactly as intended.

✨Because creating the feeling is important. Protecting it is just as important.

When people look at a beautifully executed event, they usually notice the flowers, the tables or the food.
What they don't see are the hundreds of decisions that quietly shape how the experience feels.

Before I make a single recommendation, I'm already thinking about the atmosphere, the guest journey, the flow of the evening and how every detail supports my client's vision. It's not about adding more. It's about making the right decisions at the right time.

One of the questions I always ask myself after an event is, did we achieve what we set out to do. Listening back to these reviews, I noticed the same words coming up again and again...

• Breathtaking
• Absolutely amazing
• Inspiring
• The ambiance

That wasn't by chance. Every conversation with my client, every supplier briefing, every timeline, every transition and every tiny detail was working towards one shared vision.

When the planning is intentional, your guests may not remember every individual detail, but they'll always remember how the experience made them feel. And for me, that's the greatest measure of success.

As an event planner and a mum of three young children, I've seen this debate from both sides.

Your wedding is one of the few occasions in life where you get to decide exactly what works for you as a couple.

Whether you choose a child free wedding or welcome little ones with open arms, neither decision automatically makes you inconsiderate or unreasonable. But there are a few practical things worth considering:

• Not every venue is child friendly.
• You may be hoping to create a more adult focused atmosphere.
• Some guests may be unable to attend without their children, so think carefully about whose presence matters most to you.
• Some venues have additional spaces that can be used for childcare or children's entertainment.
• Children's meals, seating and activities all add to your overall budget.
• Consider how important it is for you to have your guests' undivided attention during key moments such as your vows, speeches and first dance.

The reality is that every additional guest impacts your budget, seating plan and overall experience. That doesn't make you selfish. It simply means you're making intentional decisions about the celebration you're creating.

✨ Whatever you decide, communicate it clearly, kindly and early. The right guests will respect your decision, even if it isn't their preference.

Some moments at a wedding are full of joy, laughter and celebration. Others are much quieter, like the reserved seat in the front row, the photo in a bouquet or the tears that appear when remembering someone who should have been there.

We call these Legacy Moments. Moments that create space to honour the people who helped shape your story and whose love is still felt today.

Because although they may no longer be here, their legacy lives on in the moments that matter most.
