Sometimes you find the right venue and the right date. But sometimes you have to decide which matters more.

Availability can have a big influence on venue sourcing, particularly when an event needs a specific combination of meeting space, bedrooms, breakout rooms, or exclusive-use areas.

There are other factors in the mix too. Conferences, exhibitions, sporting events, and seasonal demand can all affect what’s available and what it costs.

Starting the venue search earlier gives you more opportunity to compare the options and decide what matters most for the brief.

Leave it too late, and the conversation can become less about “Which venue is right for us?” and more about “What can we still get?”

“It holds 200 people” doesn’t necessarily mean it’s the right venue for a 200-person event.

There’s much more we want to understand before deciding whether a venue works for the brief.

1. Can delegates get there easily?
Location needs to work for the people attending, not simply look good on the invitation.

2. Do the spaces work for the programme?
Think beyond the main room to breakouts, registration, catering and how people will move between them.

3. What’s actually included?
Knowing what is and isn’t part of the package makes it much easier to compare options properly.

4. Is there flexibility if something changes?
Delegate numbers and event requirements can evolve.

5. What will it feel like for the delegate?
From arrival through to the final session, the venue becomes part of their experience.

Venue sourcing isn’t simply about finding somewhere with availability. It’s about finding somewhere that fits the event.

Choosing a destination for a conference or incentive trip is rarely just about the venue itself.

Accessibility is often one of the most important considerations. However appealing a destination may be, travel times and transport options need to work for the whole group.

It's also worth considering accommodation capacity. Keeping delegates together in one place can make the experience more seamless and help maximise networking opportunities.

Local infrastructure matters too. Conference facilities, transport links and reliable connectivity all play an important role in the overall delegate experience.

Seasonality is another factor that's easy to overlook. The same destination can offer very different pricing, availability and opportunities depending on the time of year.

And finally, look beyond the logistics. The right destination doesn't just support the event; it elevates the entire experience.

Meet Maya!

Maya has joined us as an Event Coordinator for her university placement year, gaining hands-on experience and learning all about the fast-paced world of events.

She comes to us with event experience and we’re delighted to have Maya as part of the High 5 team. We're looking forward to seeing what she gets involved in over the year ahead.

September tends to mark the start of congress season, and it's usually when we see organisations start thinking seriously about next year's events.

One trend we're seeing more frequently is sustainability reporting starting to influence event and venue selection. New EU corporate reporting rules mean some organisations now need detailed carbon data (venue energy use, travel, catering) for events, not just for their core business operations, which is pushing procurement teams to ask for that information earlier and more formally when comparing venues and destinations.

Worth factoring in early, before dates and budgets are locked in.

Ireland is quietly becoming one of the strongest options on the table for corporate events and incentive travel, and it's a shift we've seen up close.

We now have an event manager based in Northern Ireland, giving us local expertise across both the Republic of Ireland and Northern Ireland. That means real knowledge of venues, suppliers and logistics on the ground, not just a view from across the water.

For UK organisations weighing up an international-feeling trip without the long-haul budget, Ireland offers exactly that combination: a different backdrop, strong connectivity, and none of the added complexity of a genuinely unfamiliar market.

Some of the High 5 team have been in Geneva supporting our clients at the EAN Congress.

Whenever we're on-site at an event, we're reminded how much work goes into creating something that, on the day, should feel effortless.

Delegates see the registration desk and the sessions running to schedule. What they don't see is the congress management behind it: the exhibition booth design and build, the business suite design and build, the accommodation coordination and the registration logistics that all come together long before anyone arrives.

And that's exactly how it should be.

One of the things we enjoy most about what we do is taking all of those moving parts and bringing them together into an event that feels calm, well organised and enjoyable for everyone attending.

We hope everyone at the congress has a fantastic week, and we're proud to be there supporting our clients once again.

A client once told us:

"High 5 are the gold standard for events management and a trusted partner. They have embedded themselves as one of the team."

It's still one of our favourite pieces of feedback because it reflects exactly how we like to work.

We don't see ourselves as an external supplier. We embed. We collaborate. We manage the detail and keep the momentum where it matters.

Whether it's a meeting for 30 people or a conference for several hundred, our approach stays consistent. We listen, we communicate, we stay flexible and we take ownership of the details our clients shouldn't have to worry about.

This approach has shaped long-standing relationships we value hugely.

A huge thank you to every client who continues to trust High 5 Events.

Planning a conference for more than 300 delegates?

If we've learnt anything over the last 20 years, it's that the things which make the biggest difference aren't always the obvious ones.

When early planning is possible, it pays off. Even a modest jump-start opens up better venue choices, stronger supplier options and more control over costs.

Bring every stakeholder in from day one. Large conferences touch multiple departments, and alignment upfront saves time, stress and unnecessary rework.

Think beyond the venue itself. A space might be large enough, but does it work for registration, networking, breakout sessions and delegate flow?

Delegates form impressions before they arrive. Good communication in the weeks leading up to the event is just as important as what happens on the day.

Finally, don't feel you have to carry the whole project alone. An experienced event partner doesn't replace your team, they strengthen it, giving you more bandwidth and control.

Every conference is different, but these are the conversations we have with clients time and time again.

Planning a conference for 300+ delegates? High 5 Events shares practical advice on planning, logistics, stakeholder management and delivering successful large-scale conferences across the UK and beyond.

One thing we've learnt over the years is that the strongest events almost always start earlier than people expect.

It's understandable why planning gets pushed down the priority list. There are meetings to attend, budgets to agree and a hundred other things competing for your attention. Suddenly, you're looking for a venue and wondering why availability is so limited.

The reality is that early planning isn't about being organised for the sake of it. It's about giving yourself choices.

More venue choices. More supplier flexibility. More time to think about your delegates instead of racing towards deadlines.

Some of the most successful conferences we've delivered started with a conversation months before the details were defined. Having that extra breathing space meant decisions could be made properly, rather than quickly.

So, if your organisation is already thinking about a conference or corporate event for next year, start those conversations sooner rather than later. Your future self will thank you for it.
