Are you planning transportation logistics for large groups in Germany?

We have 7 great tips for you:
1.- Start with clear communication, providing your onsite partners (DMC) with detailed arrival and departure manifests as early as possible. Even if you do not have all flight details, a tendency and approximate expected amount of guests can help suppliers get prepared for your logistics.

2.- Set parameters: Discuss with your local partner how you wish to combine arrivals and departures and hear what they recommend. Should the transfers be bundled by flights or by times? You can be more flexible with the departures, but combining flights can be tricky in case of delays or lost luggage.

3.- Use the traffic lights system: Work with versions every time you send an update and mark new additions in green, changes in yellow and cancelations in red. Ask your onsite partner to confirm the changes and send you a new list (without colors) with a new version number.
4. - Send regular updates to your lists to keep everything on track.

5.- Assign an airport coordinator to meet and greet guests and coordinate drivers. in most cases, the coach drivers are not allowed to come inside the airport, so you should foresee this scenario. Also plan on having a separate person at the office updating any changes you may have (needs to be a separate person).

6.- Depending on the size of your group, consider on having additional spare (stand by) vehicles in case of delays or changes.

7. Speak to your local partner and let us tell you about previous experiences. You may need to request privatization of streets or other special permits, where having a strong local support can make the difference.

With these essential tips, transportation for large groups will be handled with ease, allowing your event to run smoothly.
