Event insurance is essential because it protects hosts / couple from financial losses due to unexpected circumstances.

Here’s why it’s important:

Venue Issues
- If your venue closes unexpectedly (bankruptcy, fire, flood), insurance can help recover deposits and cover last-minute venue changes. (We’ve been this A LOT)

2. Vendor Cancellations or No-Shows
- If a vendor (caterer, photographer, AV team, etc.) fails to show up or cancels at the last minute, insurance can reimburse deposits or help cover the cost of hiring a replacement.

Extreme Weather
- If a severe storm, wildfire, or other natural disaster forces you to cancel or postpone, event insurance can cover rescheduling costs.

Illness or Injury
- If the host, keynote speaker, or an essential participant falls seriously ill or is injured, forcing a postponement, insurance can help cover rebooking expenses.

Property Damage or Liability
- Many venues require liability insurance in case of guest injuries or property damage during the event.
- If a guest gets injured or damages property, insurance can cover medical bills or repair costs.

Work backwards. What time is your ceremony? How long does it take to get to the ceremony spot? Are you doing a first look? How long will it take to walk/set up the spot? Where is your wedding party going to be? Who’s taking your bags from the vehicle to the venue? Will you need to use the washroom? Do you need a sip of water?

Note: this isn’t your photographer’s job to organize a timeline. Without a planner or coordinator, it’s yours!

Timelines are our FAVORITE!

Creating a wedding timeline is essential for a smooth and stress-free day.

Start with the Basics
- Ceremony Time: Pinpoint the time your ceremony begins, as this will anchor the schedule.
- Venue Restrictions: Confirm setup, breakdown, and event start/end times with your venue.
- Travel Time: Consider travel between locations.

Break Down the Day
- Getting Ready: Hair & Make Up should allocate a 2-4 hours per person.
- Photos: Schedule 1-2 hours for pre-ceremony photos, including wedding party and family.
- Guest Arrival: Allow 30 minutes before the ceremony for guests to be seated.

Account for the Ceremony
- Length: Civil ceremonies may take 20-30 minutes, while religious/spiritual ceremonies might be 30-60 minutes.
- Post-Ceremony Photos: Plan an additional 40-60 minutes for couple, family, and group photos.

Reception Timing
- Cocktail Hour: Allocate 1 hour for guests to mingle while transitioning to the reception space.
- Dinner Service: Depending on the style (plated, buffet, etc.), plan 1.5-2 hours.
- Speeches and Toasts: Budget 20-30 minutes throughout dinner or after.
- First Dance and Parent Dances: Set aside 15-20 minutes.
- Open Dance Floor: Let the party flow for 2-3 hours, keeping energy high with a DJ or band.

Include Buffer Time
- Add 10-15 minute cushions between major events to avoid feeling rushed.

Consult Vendors
- Work with your photographer, caterer, and DJ/band to ensure realistic timelines for their services.

Finalize and Share
- Share the timeline with your wedding party, vendors, and key family members ahead of the big day.

My Story

In July 2018, I took the leap and launched my passion project – Olivia Fata Assisting + Planning – Olivia Fata Events is one half of this project.

I became a certified Event Planner in 2010 and possess an Event Management Certificate from NAIT. I have years’ worth of experience, exclusively working in hotels, restaurants, and catering. I thrive in high-stress situations and specialize in day-of coordination; whether you need someone from set-up to tear-down or just to ensure everything is running according to schedule, I will be there to provide you with peace of mind and ensure that your event goes off flawlessly. With my services, you can expect full communication from the day you book, throughout your entire event.

The second half of my business is assisting! I believe they go hand-in-hand. I’ve work with big and small businesses doing tasks such as data entry, travel coordination, email scheduling, social media scheduling, blog posting and market research.
