It’s coming to that time of year again, someone in the team will be selected to organise the staff Christmas party. To some this may be a dreaded thought, but here at Entertainment Ideas we will take you step by step into how the party is organised and make sure that your Christmas party is unforgettable.
There is a simple process on how to organise a successful and fun Christmas party. Follow this process and you are surely onto a winner!
Why- The first question you should ask yourself is why you are holding a Christmas party in the first place. The main reason Christmas parties are held is to appreciate and thank the staff on how well they have performed over the year. So target everything towards your staff, you don’t want them sitting there feeling left out or unsure, this party is for them so make sure they know that.
Overall Budget- Find out from whoever is responsible what your budget is. This will determine your venue, menu, entertainment and other smaller factors. Stick to the budget and do your research to get the best price.
Demographics- Try and figure out what the demographics of your workforce are. Is your team mainly men or women, are they early 30’s or a full mix of ages. This is critical as you will have to try and please as many people as possible (which is quite difficult I know). This should also be the time when you find out how many employees intend to come along to the party. This can be done easily over email or text, that way you have a backup of numbers.
When a Christmas party is being organised there are 4 factors to consider. These are the Date, the Venue, the Menu and the Entertainment.
Date- Choose a date which most staff can attend. Most employees hold out on organising their own Christmas plans until they find out Christmas work parties, as they know this is the one time that everyone can get together and just have plain and simple fun. Ask around, do research and ask friends when their parties are, you may just get a date which suits everybody. Now wouldn't that be brilliant?
Venue- Choose a venue close in proximity to your workplace. If your employees can travel to work every day then travelling to a Christmas party should not be much of a bother. Shop around, again do your research and ask friends and families where they have been too and where would they recommend. The size of your team will determine the size of the venue. If you are a large team you may need your own room but if you are a smaller team you may be in a beautiful hotel with other companies also enjoying their work night out.
Menu- There is usually set menus from your venue and they usually cover your starter, main and dessert which cater to most needs. It is your duty to find out if anybody in your team has allergies towards certain foods like nuts or dairy. Another useful detail to know in accordance to the menu is if any of your team are strict eaters like vegetarians, kosher etc. Once you know this, you can inform the hotel to make other menu arrangements for these individuals.
Entertainment- This really is when the party kicks off. All parties need entertainment. Whether it be a two piece acoustic band to a full 8 piece jazz band, entertainment is key. Maybe you could have a vintage themed party with an old school jazz band to really set the atmosphere or maybe you want a DJ to play the biggest hits of the year and get everyone up on the dance floor. Unique entertainment at parties has really taken off as it adds that extra sparkle to your event. Ideas like this would include photo booths, comedians, magicians, caricature artists and a fun casino. Make your entertainment the talk of the night, your efforts will not go unnoticed.
