There’s something special about working on events that go beyond the event itself.

On International Women’s Day, activated at the Women’s Asian Cup as the took on South Korea in front of a record crowd.

Thousands of fans, one powerful message: period poverty should not exist in Australia.

It was a privilege to support the logistics and coordination across the teams and collaborators who made it possible.

Moments like this are a reminder of the power events have to amplify important conversations.

Katie Farrugia is a senior event strategist with more than 18 years of experience delivering large-scale, outcomes-driven events across corporate, government and not-for-profit sectors. Her career spans national roadshows, policy forums, conferences, exhibitions, STEM showcases and fundraising galas.

Prior to founding Florence & Co Creative, Katie spent seven years at CSIRO in national event and partnership roles, where she led flagship initiatives such as D61+LIVE and Digital Careers. Her previous roles also include producing multi-city health sector roadshows, managing gala fundraisers and auction programs across Australia and New Zealand, and designing STEM engagement events for students nationwide.

She is now the Founder and Director of Florence & Co Creative, a Sydney-based boutique event consultancy that partners with internal teams to provide senior-level event support at any stage of planning or delivery.

Event week has a vibe - and it’s usually somewhere between “I’ve got this” and “please don’t talk to me until bump-in is over.” 😂

But staying calm under pressure?
That part isn’t accidental… it’s intentional.

Because someone always says “we’ll do it later”…and “later” magically becomes two days before bump-in!

Here’s three things you can do from the beginning stages to avoid chaos and have a smooth bump in:

1. Communicate - Silence causes chaos! Keep internal teams, suppliers and speakers up to date and don’t leave long silent gaps.

2. Prioritise - get your ducks in a row, work out what’s important (anything guest experience related)

3. Delegate Early - from someone who would rather “do it myself” I’ve learnt the hard way to delegate anything I can. It makes the stress levels drop

4. Expect Curveballs - you can plan everything perfectly but there WILL BE a curveball in some shape or form. Build in buffer time and mental space for then it happens.

4 ways to turn event chaos into calm 🧘‍♀️

Event week has a special talent for making everything feel urgent - even the things that really don’t matter.
When the countdown timer is screaming, the goal isn’t to hustle harder… it’s to get smarter.

Here’s what I focus on when I’m stepping into a team that’s juggling too much:

1. Prioritise what your guests will notice.
If it affects the experience, it goes first. Full stop.

2. Delegate early.
Clear ownership = fewer 10pm panic emails.

3. Communicate daily.
Silence creates chaos. Short, sharp updates keep everyone aligned.

4. Expect curveballs.
You can’t avoid them - but you can plan for them.
