At every single wedding, the first thing I do is walk around and personally greet every vendor.

Why? Because a wedding isn’t run by individual businesses ticking a box. It’s run by a team.

When we communicate, smile, and support each other, we set a tone that makes the entire day run smoothly. We are all there for one reason: to make sure our couple has the best day of their lives.

When your vendors work as a team, you get to step out of the project manager seat and actually enjoy your day.

It’s hard to believe 12 months have already passed as we prepared for this beautiful day.

What guests see on a wedding day is the celebration.

Behind the scenes, there are months of planning, conversations, detailed runsheets, floorplans, logistics and plenty of collaboration to bring it all together.

And that’s why having a wonderful team of vendors around you makes such a difference.

A big thank you to some of the incredible vendors who worked alongside me to bring Kim & Tin’s wedding to life. Thank you for your collaboration, for working through all the details with me, and for playing your part in making the day come together so smoothly.

One of my favourite parts of what I do is working with talented people who care just as much about creating a beautiful experience for our couples, their families and their guests.

"But doesn't the venue coordinator handle all of that?"

It is the most common question we get, and today Kadija Sydney Wedding Planner & Wedding Coordinator | Kadija Felipe and I are sitting down to bust the biggest misconception about wedding planners.

A lot of couples assume a venue coordinator and a private wedding planner or coordinator do the same thing. But there is a massive difference in who they are actually representing:

✨ The Venue Coordinator: They are employed by the venue, which means their primary focus is the venue's logistics, rules, and staffing. Plus, staff turnover is common. You might book with a sales rep, plan with a coordinator, and have an on-the-day supervisor you have never met running off a hand-off sheet.

✨ Your Private Planner: We are independent and work solely for you. We know your vision inside and out, manage the hours of admin and prep beforehand, and stand by your side from booking to the last dance.

Finding a venue in Sydney's Eastern Suburbs that ticks every single practical box (without sacrificing the vibe) can feel like looking for a needle in a haystack.

For an upcoming 80-guest milestone birthday, my client had three non-negotiables: absolute wheelchair accessibility, stress-free parking and full kitchen access. After vetting the options, Randwick Community Centre was the clear winner.

My client got the peace of mind they needed, and now we get to focus on the fun part: bringing their styling vision to life. This is what "I plan, you enjoy" is all about, keeping you out of the logistics coordinator seat so you can just enjoy the countdown.

4 weeks out from the wedding: This is where the magic (and the logistics) truly meet. ✨

For Kim & Tin’s venue consultation, we weren't just looking at the beautiful space, we were diving into the smaller details that ensure they can actually enjoy their day as guests, not as project managers.

Here is exactly what we covered to make sure every detail is locked in:

1️⃣ The Floorplan: Confirming the final table count to ensure the flow is perfect.
2️⃣ The Details: Reviewing the guest list, specific dietary requirements, and high chair placements.
3️⃣ Vendor Logistics: This is the tricky part! Since there’s a huge event the night before, we coordinated a 5:30pm early drop-off for the stylist and confirmed a 10am arrival for the rest of the team on the wedding morning.
4️⃣ Catering Timeline: Pinning down exactly when food hits the tables for both guests and the hardworking crew.
5️⃣ Place Card Innovation: Organising the placement of blind boxes and magnetic photo-booth strip cases as guest place cards.
6️⃣ The Feast: Finalising the banquet menu and selecting the cake.
7️⃣ Styling Tweaks: Modifying in-house styling, like moving the pink floral arch and ensuring the bridal table has a clean, specific look without the standard backdrop.
8️⃣ Signage: Choosing the right easels for the seating charts and mapping out their exact placement.
9️⃣ The Best Seats in the House: Selecting the specific chairs for the Bride and Groom.
🔟 The Final Handoff: Setting a time for the couple to drop off their items during wedding week so my team and the venue staff can handle the setup.

This level of detail is exactly why my couples feel so calm in the final month. I solve the problems before they even happen.
