Choosing the right Venue can make or break your event design! 🏛️✨ Before locking in a location for your next celebration, keep these 5 game-changing factors in mind:

1️⃣ Capacity & Flow – Make sure the space breathes well with your guest count and layout.

2️⃣ Location & Access – Think about parking, transit, and ease of arrival for your guests.

3️⃣ Hidden Costs – Always look beyond the rental fee, food & drinks to see what’s actually included (tables, chairs, service charges, surcharge, GST, mandatory gratuities, Cleaning charges, extra hours charges!).

4️⃣ Atmosphere & Plan B – Does the raw space fit your vision, and is there a solid backup plan if weather acts up? 🌦️

5️⃣ Vendor Rules – Check if they have preferred lists of Vendors or strict setup/breakdown timeframes and insurance requirements. This will impact the delivery, set up and pack down costs of your decor. Catering flexibility can save money.

1. Entry access and Loading Dock:
Confirm the location of loading dock and how far it is located from the stage space.

2. Access Route Obstacles:
Look for obstacles like Stairs, Step, narrow corners such as entering through Kitchen, or restricted Lift access. Which means you can’t bring your trolleys and it might require to carry your props which could impact your event’s setup time.

3. Scheduling Constraints:
Inquire about set up and pack up timeframes. Will you have access to the venue the day before, or for the whole day, or will everything need to be set up within a tight morning schedule? This is crucial for elaborate decor set ups and weddings.

4. Parking Arrangements: Verify parking options for vendors, and check if any parking fees apply.

5. Floor Plan and Layout:
Measure the size of the stage , ceiling height from the stage, and doorways. Ensure custom backdrops, large props, floral installations, and rental furniture will fit comfortably.

Check the floor plan, to assess the staff movement. This will help determine if waitstaff and service carts can move freely around the dance floor without disruptions.

6. Power Supply: Locate and check the distribution of power outlets especially on the stage space.

7. Ambient Lighting:
Verify if windows have blackout blinds for a controlled lighting, and walls have large hanging portraits, screen or pillars that may affect the backdrop. Which means you might require to carry curtain backdrops to cover the wall/window behind the backdrop.

8. Decor Restrictions:
What’s allowed and what’s not? Check the decor restrictions to see if you can use helium, cold sparkles, ceiling hangings and command strips. Don’t forget to ask about confetti and glitter too!

9. Insurance and Permits: Confirm the venue’s specific Certificate of Insurance (COI) requirements and the insurance limit.

10. Bump out Time Frame:
Verify the pack-up schedule to see if it’s an after-hours arrangement or set for the next morning after, keeping in mind the assigned time slot for pack-up activities
