When budgets get tighter, where do you refuse to compromise?

For event professionals, delivering a memorable experience is only half the challenge. Behind the scenes, there’s another question constantly being asked: how do you make the numbers work? 💰

For Paige McCourt, it’s one of the biggest challenges of planning and delivering events.

💬 “You want to create the best possible experience, but costs can change quickly. You’re also balancing expectations from stakeholders, sponsors and attendees, all while working within the budget.”

So, how does she approach it? 🤔

📊 Paige keeps a close eye on costs from the very beginning, regularly reviewing spend, comparing quotes and negotiating with suppliers. But good budget management isn’t simply about finding the cheapest option.

🤖 AI has been overwhelming... and honestly, it still is.

Every week there's a new platform, a new tool and another headline telling us it's going to change everything.

So instead of trying to learn every AI tool, we changed our approach.

We started asking ourselves:

❓ What takes longer than it should?
❓ What tasks frustrate our team?
❓ Where do we keep saying, "There has to be a better way?"

Then we work backwards.

We map the process first. Then we look at whether AI can help.

Sometimes it's a custom GPT. Sometimes it's an AI agent. Sometimes it's simply a better workflow. Sometimes the answer isn't AI.

💡 We're not using AI to replace our team or do the thinking for us.

If you looked at AA&P's calendar, you'd probably think it belonged to five different companies.

In any given month, we could be planning an international conference, delivering a regional field day, managing a national industry forum, securing sponsorship for a major event, or coordinating an overseas business delegation.

✨ Investing in the next generation is something we're incredibly passionate about.

Sometimes the best opportunities come from the people you meet along the way.

We first met Georgia while managing an event in the Pilbara. Her enthusiasm, willingness to get involved and positive attitude left a lasting impression, so when the opportunity arose, we were delighted to welcome her to AA&P for work experience.

When we asked what she enjoyed most, her answer summed up our industry perfectly:

"Every day is different... you're always learning something new."

She also shared that the experience gave her confidence to pursue her own career goals and showed her that hard work and strong relationships can create exciting opportunities.

We believe it's important to create pathways for young people to experience our industry firsthand. Whether it's work experience, mentoring or simply taking the time to encourage someone who's keen to learn, today's students are tomorrow's event professionals, leaders and business owners.

Georgia, thank you for bringing such a positive attitude and eagerness to learn. We have no doubt you have a bright future ahead, and we can't wait to see where your journey takes you. 🌟
