Your venue manager may be brilliant, responsive, and essential. That does not automatically make them responsible for your ceremony lineup, outside vendors, personal décor, family communication, complete timeline, or end-of-night packing. Ask for the written duties, map every handoff, and fill the gaps without asking one professional to perform another job.

Venue managers and wedding coordinators are partners with different scopes. The venue manager protects the property, enforces its rules, and oversees the services the venue agreed to provide. The wedding coordinator protects the couple’s complete plan across every location, vendor, person, handoff, and timeline decision.

Contracts can feel impersonal, but clear expectations are deeply human. They protect budgets, labor, time, relationships, and the dignity of everyone trying to keep a promise. The kindest plan is one that does not require mind reading.

Already signed a contract that no longer fits? Do not panic and do not improvise on the wedding day. Most agreements contain a process for changes. Use it deliberately, document the result, and update every connected piece of the plan.

A clear contract can still collide with another clear contract. Coordination lives in the seams: access, handoffs, timing, equipment, setup, cleanup, and removal. The goal is not to rewrite every agreement. It is to make the agreements work together.
