"What percentage of our budget should go to AV?"

The honest answer?

It depends on the experience you're trying to create.

AV isn't just microphones and screens.

It's how attendees hear the message.

It's how they see the content.

It's how they experience the brand.

For some events, AV is a support function.

For others, it's the centerpiece of the experience.

The most successful planners don't start with a percentage.

They start with the outcome they want attendees to remember.

Then they build the production strategy around it.

What's your rule of thumb for AV as a percentage of event budget or do you refuse to use one?

They admire the stage.

They remember the experience.

What they don't see?

โ€ข The backup laptop.
โ€ข The spare microphone.
โ€ข The redundant signal path.
โ€ข The contingency plan for every critical moment.

Professional production isn't about hoping nothing goes wrong.

It's about making sure the audience rarely notices when something does.

The audience rarely remembers the AV team.

But they always remember when something goes wrong.

A microphone failure.
A frozen presentation.
Poor lighting.
Awkward transitions.

For executives and keynote speakers, every second on stage shapes perceptionโ€”not just of them, but of the company behind them.

That's why great production isn't about flashy technology.

It's about making sure the speaker can focus on delivering the message while everything else works exactly as expected.

The best compliment an AV team can receive?

If you've ever received three AV quotes that looked nothing alikeโ€ฆ

You're not alone.

In many cases, the issue isn't the vendors.

It's the RFP.

When requirements are vague, every company fills in the blanks differentlyโ€”making it nearly impossible to compare pricing fairly.

A strong AV RFP clearly defines:

โ€ข Event goals
โ€ข Audience size
โ€ข Venue details
โ€ข Technology expectations
โ€ข Scope of work

The result?

โ€ข More accurate proposals
โ€ข Easier comparisons
โ€ข Fewer surprises on event day

The quality of your quote starts with the quality of your request.

What's the one line you wish every AV RFP included? The one you learned to add the hard way?

"Should we use an LED wall or projection?"
It's one of the most common questions we get, and the answer is almost never "whatever's newest."

The right call depends on:

โ€“ Ambient light in the room
โ€“ Setup Time
โ€“ Viewing distance
โ€“ Content type
โ€“ Budget
โ€“ Screen Design

Sometimes, projection is the smarter way to spend. Sometimes, LEDs are the clear winner. The wrong reason to choose either one is the wow factor.
The right screen is the one that serves the attendee experience, not the one with the biggest spec sheet.

LED or projection as your default, and what makes you switch?

When planners think about lighting, the first question is usually:
"Will people be able to see the stage?"

Important but that's the floor, not the ceiling.
Purposeful lighting directs attention, supports the story on stage, reinforces brand, and sets the mood from the second attendees walk in. It's the difference between a room that's lit and a room that feels like something.

The gap between an average event and a memorable one often isn't the venue or the budget. It's an intentional design.Because the best lighting isn't noticed. It's felt.

When's the last time lighting completely changed how a room felt to you?

Most people look at a floor plan and see logistics.

We look at it and see the attendee experience.

Before a single light is hung or a mic is tested, a CAD drawing can flag problems that are expensive to fix on site: blocked sightlines, dead zones in sound coverage, bottlenecks in audience flow, poor camera angles, and no clear path for production.

The smallest adjustment on paper costs nothing. The same fix on event day costs you a labor call and a stressed room.

That's why production planning starts long before anyone walks into the venue.

What's the one thing you always check on a floor plan before you sign off on it?

The proposal looks great. The venue is perfect. The budget checks out. But hidden inside the contract could be clauses that limit your flexibility or increase your costs.

We've seen planners surprised by:
Exclusive in-house AV requirements
Outside vendor fees
Unexpected labor charges
Rigging and power restrictions
The best way to avoid surprises?
Read beyond the price and understand the details.

๐Ÿ“˜ Our Hotel AV Playbook helps event professionals identify the clauses that matter before they become expensive problems.
What's the most expensive surprise you've found buried in a venue contract?

Great events have a way of bringing people together.
They create shared experiences, spark connections, and leave lasting memories long after the moment has passed.
This Fourth of July, we're celebrating the communities, organizations, and teams that make those moments possible.
Wishing everyone a safe, memorable, and inspiring Independence Day.
Happy 4th of July from the DXG team.
