The month of August officially marks my 25th year in event planning!

I begin the month with the first of three outdoor events over the course of the next two weeks.

As we are in North Carolina, the threat of storms loom and I am checking WeatherBug way more frequently than necessary to monitor what will happen in 25.5 hours.

Where we are it changes hour by hour and it can be pouring in one part of the region and sunny in another.

This is not my first, nor will it be my last, rain call.

And, this is definitely not my favorite part of event planning. It often involves a delicate balance of doing what's right in terms of safety and informing your client that their investment of time, money and other resources may not come to fruition as planned.

My first experience with storms was during a large, outdoor corporate event, an unexpected massive storm popped up and the team I worked with successfully scrambled to keep the 7,500 attendees safe. The rain ended and the scattered guests who stuck it out were treated to an awesome fireworks display.

On a multi-day set-up, I had a very frank conversations 24 hours in advance of the event start time with my client about postponing and they assured me their 9,000 guests would come out as scheduled. The local sporting goods store sold out of raincoats and pants to cover our crew. We were wet and cold for days. Five hours later, the decision was made to postpone the event for 3 days.

For another large outdoor event, our client called a local meteorologist who assured her we would be fine. We deferred to that call. I have some great photos of blackened skies and the destruction of some cool event decor about 10 minutes in. Fortunately, that subsided, and an awesome event unfolded. Until later, which prompted an evacuation of all outdoor areas.

I've had the grounds crew of a University cancel an event 36 hours in advance because they worried that rain + their pristine lawn would incur too much damage. My clients were on a plane flying to NC when that happened, and the ensuing call was rough.

Back in April we had to reconfigure a large city event because of massive storms. Luckily, there were options to move inside and keep much of the event as originally planned.

The moral of this story?

It's never easy to make the call to cancel an event due to rain, especially without indoor back up.

By the time the call needs to be made, 95% of the work has been done and the bills still need to be paid and so much last-minute work goes into an event cancellation.

Safety for all guests, vendors, venues must come first. Get event insurance, get rain insurance. Be clear on who has the authority to make the call. Be fair to all concerned and don't mess with Mother Nature.

Celebrating 25 Years of Event Planning!

I love how I began my career in event planning. It was not something I set out to do, nor had I really heard much about the industry and profession when I started out.

I studied Art History in college in Westchester County, New York, just north Manhattan. This is also where I grew up, and New York City was a big factor in my life, until I moved to California.

Out of college, my first job was at an art gallery in SOHO on West Broadway. It was exactly what I wanted to do at that time. The gallery was in the thick of all the notable galleries and world-renown artists were everywhere. It was the late 80s in New York and it was exciting and eclectic, and I had a lot of experiences that I’ll never forget.

The gallery I worked at was run by an interesting yet volatile man. There was one other employee – Marcia. She had moved to NYC from San Francisco and we bonded quickly. We also quit our jobs together one December morning when our boss went off on a tirade

Fast forward a few years, I was working at another gallery in the East Bay. This time, the owners could not have been more gracious and supportive. One Monday, I went in to work and looked at the guest book from the previous weekend and Marcia and her father had been in the gallery. I couldn’t believe it! About 3 years and a move across country and Marcia and I were living in the same city again. I immediately connected with her.

We stayed in touch. About 3 years later, I was looking for another job. Marcia had recently started with an Event Planning Company based on top of Nob Hill in San Francisco and they were looking for additional people so she recommended me. Marcia and I drove to the Silverado Winery in Napa to meet the owner of the company. A few days later I was hired. I knew that I was doing something I would have a great passion for, and I still do!

I'm celebrating 25 years of being an event planner this year! It's gone by in the blink of an eye. I remember my very first event like it was yesterday.. It was a family event for Better Homes & Garden Magazine at The San Francisco Yacht Club in Marin County. We had a beautiful mermaid there who sat in a shell for ambiance. Engagement! The opening of the Oscars was a great example of engaging guests with an event from the very beginning. Justin Timberlake had everyone on their feet, dancing and singing. It was fun and enjoyable to watch. The closing of the Oscars, a different story...too many people on their feet.
