⚡ Electrify the Capital ⚡

On Saturday, we delivered the inaugural Electrify the Capital event in Wellington.
I was stoked to be the event manager for this and work alongside an incredible, passionate team for the past few months to bring this to life.
Forty exhibitors, including eighteen electric vehicles. A full day of technical talks from experts and an evening networking function, with industry leaders, MPs, and exhibitors discussing the future the electrification.

Incredible day with a great reception from the public.

Empty hall to bustling expo. Always such cool feeling, no matter how many times I do it!

⭐️ Three things I’m doing in event week (so my client doesn’t have to) ⭐️

I’ve got a big expo this weekend, and after months of work, all the details are in place. But there a few things left on my to-do list.

Here are three things I’m doing during event week, everytime:
1. Touching base with every supplier and exhibitor again. It doesn’t matter if we confirmed everything last time we spoke, I’m checking in to make sure we are all on track for the smoothest day possible.
2. Touching base properly with how my client is feeling. Not what they would like done, how registration numbers are looking etc (that’s all happening too), but if they are feeling relaxed, excited, nervous, and how I can make sure they hit the ground on the day in the best headspace.
3. Thinking about the team. For my client and the rest of the expo team (including myself) it’s going to be a huge few days. I’m making sure breaks are scheduled, we’ve thought about food, coffee and treats, and there’s a comfortable space for the team to take 5.

🎉 And then it’s show time! 🎉

Watching people make themselves proud…the whole point and the best part.

It’s all the ordinary planning bits that make these amazing bits happen.

The top three things that make wainuihillrun successful are the same fundamentals that make all my events successful, be it a wedding, a conference or a run!

1. A tight, tight run-sheet. Every action, every contact, every minute planned, checked, and checked again. The run-sheet should be thorough enough that I could get abducted by aliens and someone else could take over the event.
I should be able to tell anyone at anytime “check the run-sheet” and they know where to go and what to do.

2. The team! Building solid relationships wing amazing suppliers, volunteers and community members is invaluable in all events. I work alongside some truly incredible people and couldn’t do what I do alone.

3. Making myself think about what could go wrong. Planning for anything. As important as the run-sheet is, it’s as important to have back up plans for bad weather, change in numbers, and just about everything.

I love the big variety of events I get to work on, and following the same fundamentals helps them all have the same success.
