“Someone’s sorting that”… famous last words.

One thing we’ve learned: give every event task a named owner and a deadline.

“Check the slides” is a reminder.

“Jamie to test the final slides with AV by Thursday” is a plan.

A small detail that saves a lot of last-minute chasing.

Save this for your next team briefing.

Our Event Management Tips

Gosia’s: ‚Start with a clear goal, plan B (and C) and never leave home without a well-packed emergency kit - chargers included. You’ll need it sooner or later!‘

Michala’s: ‚Plan for the unexpected, keep your budget slightly padded, your coffee strong, and your communication constant!‘

These have saved us more times than we can count.

And that’s exactly why we work so well as a team. We bring different strengths and are each other’s sounding boards when things get tricky.
TWO perspectives but ONE goal, and always someone to bounce ideas off (or have a little panic with before finding a solution 😊 ).

What’s the best piece of event advice you’ve ever received?

We know how scary it can feel when people are relying on you and your to-do list seems to get longer every time you look at it.

Experience helps, but it doesn’t mean you never feel nervous. You learn to ask more questions, check the details and ask for help sooner.

Our advice? Get the plan out of your head. Confirm rather than assume. And give yourself permission to say, “Let me check.”

If something changes on the day, take a breath. You don’t need to solve everything at once, just work out the next useful step.

Being nervous is a good thing! ❤️

📌Save this for a day when you need that reminder.

A conference budget is one of the most important tools for your event.

Throughout the years, we have perfected ours and it is complex! No stone has been left unturned, each column, row and formula works accurately. But once you get it right, it will be one of the best assets you own!💯

Financials are crucial and you must feel confident when working with numbers and money that is essentially not yours, but your clients.

Here is just a snippet and bare minimum that should be included in your budget:

• Venue hire - including setup and breakdown time.
• AV and production - equipment, technicians, rehearsals and backups.
• Catering - for delegates, speakers, crew and event staff.
• Registration - booking platform, badges and check-in support.
• Branding and signage - design, printing, delivery and installation.
• People - event management, onsite staff, security and first aid where required.
• Travel and accommodation - for those you’ve agreed to cover.
• Logistics - shipping, storage, handling and return deliveries.
• Taxes, VAT and additional charges - check whether quotes include applicable taxes, service charges and overtime.
• Contingency - an allowance for the unexpected, with a clear process for approving its use - ESSENTIAL.

At EventRock, we track estimated, committed, and actual costs in a template that is extensive - because a budget needs to keep up with the plans, changes and the unknown at any given point.

📌Save this checklist for your next conference – or get in touch if you’re interested in the full conference budget template.

One of many of our event-planning breakthroughs? Flat shoes. 👟

It took us far too many years to realise that a conference isn’t just an event. It’s 35,000 steps a day, usually just 'popping here and there'!

We used to choose our shoes to match the outfit.
Now we choose the outfit to match the shoes.

And the real measure of success? Being able to walk the next morning without taking days to recover. 😉

Comfortable flats have officially earned their place in the EventRock team.

Here's something we learned the hard way: never finalise your event run sheet less than 48 hours before doors open.

Not because it won't be perfect. Because it won't be *yours* anymore. By T-minus 48, you're not managing the event, you're fighting fires. And things that can go wrong during that time? They probably will.

We now lock the 'magic' 72 hours out. The last 48? That's just for breathing room. And trust us, you'll need it.

What's your non-negotiable pre-event rule? (Asking for a friend who may or may not have learned this the hard way 😉).

We keep hearing 'hybrid events are dying.'

They're not. What's dying is the lazy hybrid - a camera in the back of the room and a prayer.

The events that nail hybrid today are the ones designed for two audiences from minute one. Different energy. Different engagement. Different value. Same goal.

It's harder. It's also where the magic lives.

Are you designing for your room, for your screen, or for both?

Interested more in virtual platforms? More on that to come!

Fifteen years of EventRock!!!! We’re taking a moment to celebrate this milestone.

When we founded EventRock, we did so without investors, or any safety net, just many (too many to mention by number😉) years of combined experience and a clear vision to take the weight off of our clients shoulders, handle the details with precision, and make their events truly personal.

Today, we’re immensely proud of the trust our clients have placed in us, from global associations in financial markets to ambitious firms across new sectors. Every event has been a partnership, and every success a shared one.

The truth is, this business was built on two things that have only grown stronger with time: the unwavering hard work and the incredible friendship between the two us. We’ve overcome many challenges together (personally and professionally) - moments that shaped us, and ultimately proved that there is no one else we would rather have done this with. That loyalty, that shared belief in what we’re building, is the real foundation of EventRock.

But none of it would be possible without the incredible relationships we’ve forged with our wonderful clients, partners and supporters. Thank you to everyone who has been part of our story. Here’s to the learnings, the challenges overcome, and the countless moments we’ve created together.

The best way we know to celebrate? By looking forward.
Here’s to shaping the exceptional events of the next 15 years.
(And yes, there will be cake. There is ALWAYS cake🎂)

The dust has settled. The cables are (mostly) coiled. The walkie-talkies are packed away.

After a busy season of events, last-minute miracles, and enough coffee to power a small city, we are officially switching EventRock to "summer mode."
We built stages. We chased deadlines. We made it happen. And honestly, we still love every chaotic minute of it.

But even event people need a little non-event time. So here's to long lunches that aren't working lunches, to weekends without alarms, and to coming back in September with fresh ideas, full batteries, and maybe a tan.

EventRock is taking a summer breather. See you in September......rested, recharged, and ready to make some noise. 🎸

Drop a 🌴 if you're taking it slower this summer season too.
