As I was working on Google Sheets with one of my 2027 clients, I thought to post this here to help you with costs!

This is based on a wedding in Luberon, FRANCE for next June for 34 guest!
The vendors used are high quality vendors , well established film editorial photographer, etc

Posting only for information to help you with costs before you start planning!

🇫🇷 BEFORE FINALIZING YOUR WEDDING VENUE IN FRANCE — READ THIS CAREFULLY
Advice from a wedding planner who knows how quickly small details can turn into unexpected costs or major logistical problems.
Before signing your venue contract, don’t just fall in love with the beauty of the property. Read the contract carefully — ideally several times — and make sure you fully understand every condition, restriction and responsibility.
Here are some important questions to ask BEFORE you sign:
📑 CONTRACT, AUTHORIZATION & LEGAL REQUIREMENTS
Read every clause, including the small print.
In France, there isn’t one specific nationwide “wedding venue licence.” However, depending on the type of property and how it is used, a venue welcoming guests may be subject to ERP regulations — Établissement Recevant du Public (Establishment Receiving the Public).
Before booking, ask the venue to confirm that it is legally authorized to host your type of event and your expected number of guests, and that it complies with the applicable safety and fire regulations.
Ask:
• Is the venue authorized to host weddings and private events?
• Is the relevant reception space classified or authorized as an ERP where required?
• What is the authorized maximum guest capacity?
• Are all required fire and safety regulations in place?
• Is the venue properly insured for weddings and events?
• Are there specific restrictions connected to the venue’s authorization or insurance?
• Are there additional requirements for temporary structures such as tents or marquees?
And always ask exactly what is included in the venue rental — and, more importantly, what is NOT included.
🔊 MUSIC & SOUND RESTRICTIONS
This is extremely important in France.
Ask:
• Can music be played outside?
• Until what time?
• What is the maximum permitted decibel level?
• Where is the decibel level measured?
• Is there a sound limiter?
• Does the music automatically cut off if the limit is exceeded?
• At what time must the DJ or band move indoors?
• Until what time can music continue indoors?
Never assume that because previous weddings had outdoor music, yours will be allowed to do the same.
👰 GUEST CAPACITY
Check the venue’s maximum authorized capacity — not simply how many guests the venue says it can comfortably accommodate.
You may be planning for 80 guests today, but your final list could become 100 or 120.
Ask about maximum capacity for:
• Outdoor ceremony
• Cocktail hour
• Seated dinner
• Indoor dinner
• Dance floor / party
This is particularly important when you are planning a destination wedding months or even years in advance and your final guest count is not yet confirmed.
🚚 RENTALS & DELIVERY LOGISTICS
Ask exactly how rental companies can access the property.
Can a large delivery truck reach the reception area?
How far is the unloading point from the dinner area?
Are there stairs?
Is there an elevator?
Are there narrow entrances or difficult access points?
These details matter. If tables, chairs, plates, glasses and furniture need to be carried a long distance or up several flights of stairs, additional handling or manpower fees may be charged by your rental company.
It isn’t necessarily a “hidden fee” — but it can become a significant unexpected expense.
🕯️ CANDLES & OPEN FLAMES
If candles are part of your wedding design, always check the venue’s rules before finalizing your décor.
Ask:
• Are candles and open flames permitted?
• Can candles be placed directly on the tables?
• Do candles have to be enclosed in glass hurricane cylinders or other protective holders?
• Are exposed-flame taper candles permitted without glass protection?
• Are there different rules for indoor and outdoor areas?
• Are there restrictions on where candles can be placed?
• Are there additional fire-safety requirements imposed by the venue?
This small detail can completely change the look of your tablescape — and potentially your décor budget — so confirm the candle policy before approving your floral design and rental order.
♻️ TRASH, RECYCLING & CLEANING
Never assume this is included.
Ask who is responsible for:
• Removing trash
• Glass disposal
• Recycling
• Empty bottles
• Catering waste
• Cleaning after the wedding
• Cleaning the following morning
Also ask whether additional dumpsters or waste collection need to be arranged and who is responsible for the cost.
💶 SECURITY DEPOSIT
Before signing, ask:
• How much is the security deposit?
• Under exactly what circumstances can money be deducted?
• Who determines whether damage has occurred?
• When will the deposit be returned?
• Is the refund deadline clearly written into the contract?
Get an exact timeframe — and ideally an exact contractual deadline — in writing rather than accepting “a few days after the wedding.”
✨ THE MOST IMPORTANT ADVICE
The venue is one of the biggest decisions you will make when planning your destination wedding in France.
A beautiful château or Provençal estate can look absolutely perfect during your first visit — but the contract, legal authorization, guest capacity, logistics, sound restrictions, candle policies, access conditions and additional costs are what will determine how smoothly your wedding weekend actually runs.
Ask questions. Get the answers in writing. And understand exactly what you are signing before paying your deposit.

Hello to 2027-2028 couples looking for venues in Provence !!!

Note: This is not for wedding planners or photographers or professionals in the wedding industry

I want to introduce you to this beautiful venue near Aix en Provence with 2027 dates still available and wonderful prices starting from 6k during the week and starting from 9k for a 2 day weekend event with privatization of the venue.

The venues in Provence are already 80% full for 2027 weddings but this venue does have still great availability. Little hidden gem, hard to believe!

Why some venues are not available in destination wedding directory for international couples? There are some hidden venues that are available only to local wedding planners and this is why you need a local wedding planner to guide you.

Of course researching non stop will make you lost and overwhelmed when you don’t know the region.

I had a recent bride contacting me last week tell me that another wedding planner rejected her because she had a low budget. Her budget was totally enough for a Provence wedding when selecting the right venue and suppliers.

Some planners like to plan weddings at the same venues over and over again to make their job easier rather than guiding our international brides in the right direction based on their budget, personal style, and feeling.

In my opinion every wedding is unique based on a different budget so why using the same suppliers when we have over 5000 suppliers in the region.
