Your backyard might be more event-ready than you think. 👀

Not every event delay comes from one big problem.

Sometimes it's a guest count that keeps changing. 👀

Sometimes no one is quite sure who is making the final call. 👀

Sometimes access to the venue hasn't been checked until the delivery team arrives. And sometimes the weather plan consists entirely of hoping for the best. 😅

None of these things are impossible to work around, but they can create unnecessary hold-ups when they aren't considered ahead of time.

The smoother events we've been part of usually have one thing in common: the important practical questions have been answered before everyone is standing at the venue trying to work them out.

Guest numbers. Access. Timing. A clear point of contact. A realistic backup for anything outdoors.

It might not be the most exciting part of organising an event, but sorting out the less glamorous stuff can make a huge difference once the day arrives.

A few things we wish more people knew before organising an event.

First, your original plan will probably change. Guest numbers move, ideas evolve, and sometimes the thing you were convinced you wanted at the beginning no longer makes sense later on.

That's normal.

Another thing? Inspiration photos are great, but they're only a starting point. The venue, weather, timing and number of people attending can all change how an idea works in real life.

And while we'd all love a perfectly predictable event, the truth is that flexibility can be just as valuable as having a detailed checklist.

Some of the best decisions happen after you see how everything is coming together.

So don't put too much pressure on yourself to have every answer from day one.

Ask questions. Change your mind. Have a backup plan. And leave a little room for the unexpected.

Because events are made up of moving parts, and sometimes the ability to adapt is what makes the whole thing come together.

DIY can look cheaper when you're only comparing the first price you see. 👀

But the item itself is rarely the whole cost. 🚫

There's the time spent sourcing everything, collecting it, transporting it, setting it up and packing it all away afterwards. There may be extra costs for vehicles, fuel, tools, storage, replacements or fixing something that didn't quite go to plan.

And then there's your time... 😮‍💨

For some people, doing it themselves is part of the fun. If you love styling, organising and bringing all the pieces together, DIY can absolutely be worth it.

But before deciding it's the cheaper option, it's worth looking at the full picture.

How many hours will it take? What else do you need to hire or buy? Who's carrying everything? Who's setting it up? And who is still packing things away at the end of the night?

Sometimes DIY saves money.

Sometimes it simply moves the cost somewhere else. 😅

That's why we always recommend comparing more than just the price tag before making a decision.

Why do clients choose BHQ?

Honestly, we'd like to think it comes down to how it feels to work with us. 🤗

You shouldn't be chasing answers after you've booked. You shouldn't feel like you're figuring everything out alone. And you shouldn't have to become an expert in marquees, furniture layouts or event logistics just to bring your event together.

Our role is to know our part, communicate clearly and handle the details that fall within our hands.

Sometimes that means answering another question. Sometimes it means adjusting to a change. Sometimes it's simply knowing what needs to happen without making a big deal out of it.

The best feedback isn't always about the marquee or the chairs.

It's when a client says the process felt easy, they'd work with us again, or they'd recommend us to someone else.

That's something we're pretty proud of. 💛

Choosing the right venue isn't just about finding a space that looks beautiful in photos.

Before you get too attached to a venue, think about how it will actually work on the day.

👉 Will there be enough room for your guests to move around comfortably?
👉 Does the layout work for dining, dancing or entertainment?
👉 Is there easy access for suppliers and enough space for everything you want to include?

It's also worth thinking about the things you might not notice during a quick venue visit.

🤔 Where will guests gather?
🤔 How will the space flow from one part of the event to another?
🤔 What happens if the weather changes?

We've seen how much easier an event can be when these things are considered early. A venue can look incredible, but the right venue is one that also works for the experience you're trying to create.

So before you book, don't just ask, "Does it look good?"

Ask, ✨️ Will this space work for our event? ✨️

That little bit of planning can make a big difference when event day arrives.

A little planning now can save you a lot of running around later....

After setting up plenty of events, we've noticed that the smoothest event days usually have a few things in common. 👇

✔️ The guest numbers are sorted.
✔️ The layout has been thought through.
✔️ Everyone knows who's making the final decisions. ✔️ Nothing is being figured out for the first time while we're already setting up.

Does everything always go perfectly? Not at all! 😂 There will always be something that needs adjusting on event day.

But having the big decisions sorted beforehand means those little surprises are much easier to deal with. 🫡

So if you're planning an event, here's your little reminder to get the basics sorted early and give yourself some breathing room.
